Accounting and Administrative Coordinator [7128]

Association seeks Accounting and Administrative Coordinator to support financial, administrative, and customer service processes across departments.  

Responsibilities:

  • Process accounts receivable transactions, including checks, credit cards, EFTs, ACH payments, collections, and specialized billing.
  • Prepare and distribute invoices and respond to payment inquiries.
  • Maintain accurate cash receipt records and databases; reconcile revenue and prepare recurring general ledger entries in support of annual audit.
  • Serve as backup for accounts payable by logging, reviewing, and processing invoices, travel expenses, and credit card statements, ensuring proper coding, documentation, and timely payment processing.
  • Maintain vendor records, including W-9 and ACH documentation.
  • Assemble and distribute monthly financial statements and compile schedules and supporting documentation for annual audit.
  • Support conferences and meetings by assisting with registration, payments, confirmations, substitutions, refunds, cancellations, reporting, and on-site logistics.
  • Assist with membership operations, including renewals, invoicing, mailings, acquisition efforts, and maintenance of the association management system.

  • Ability to work collaboratively and independently with minimal supervision.
  • Highly organized and attentive to detail.
  • Excellent time management skills and ability to handle multiple competing priorities.
  • Ability to handle confidential information.
  • Proficiency in MS Office applications and familiarity with standard office equipment.

Requirements:

  • Previous administrative experience. 

Salary: $61,000 – 67,000 per year
