Administrative Assistant

Administrative Assistants are responsible for providing support to ensure efficient operations of the office. This typically includes duties such as answering  and directing phone calls, organizing and scheduling meetings, producing and distributing correspondence, and ordering office supplies. This position may also greet clients and customers, book travel arrangements, and assist with special projects.

Executive Assistant

Executive Assistants perform office and administrative duties to support executive management by screening calls, managing calendars, making meeting/travel/event arrangements, and working with the Board of Directors. This position may also include the preparing of reports and financial data.

Secretary

Secretaries perform clerical work and provide general administrative support to the office. Responsibilities include answering phones, managing calendars, filing, composing letters and memos, and additional administrative duties as needed.

Receptionist

Receptionists will be the first point of contact for a company and will offer administrative support across the organization. Responsibilities include greeting guests, coordinating front-desk activities, and distributing correspondence and redirecting phone calls.

Legal Secretary

Legal Secretaries directly support attorneys with a variety of administrative tasks. Responsibilities include preparing documents, maintaining files, communicating with clients, maintaining calendars and arranging travel. Additional responsibilities include producing and filing legal documents, attending trials and typing minutes, writing case briefs, synopses of depositions, contracts and testimony.

 Marketing Assistant

Marketing Assistants support the Communications and Marketing departments. Responsibilities include undertaking daily administrative tasks, supporting marketing projects, conducting market research, updating spreadsheets and databases with information, and assisting with promotional events.

Communications Assistant

Communications Assistants provide administrative support to various teams and programs. Duties  typically  include drafting and editing copy, assisting in maintaining web content, creating and tracking social media posts, assisting with marketing efforts and preparing presentations and reports.

Human Resources Assistant

Human Resources Assistants act as the liaison between HR managers and employees, ensuring smooth communication and prompt resolution of all queries. HR Assistants also support daily HR activities and assist with coordination of HR policies. Duties include compiling and updating employee records, processing documentation, coordinating projects, assisting in payroll, and conducting new hire orientations.

Office Administrator

Administrators ensure proper flow of office procedures and supports the office by carrying out common duties. This typically includes duties such as coordinating office activities and operations, supervising administrative staff, managing calendars and travel arrangements, and bookkeeping procedures.

Project Coordinator

Project Coordinators work closely with the Project Manager to manage and organize all types of projects – from simple activities to more complex plans. Responsibilities include preparing comprehensive action plans, coordinating tasks, and assisting with administrative duties.

Office Manager

Office Managers organize and coordinate office procedures and office staff. Office Managers create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Responsibilities include scheduling meetings and appointments, organizing officer operations and procedures, ensuring invoices are paid, managing contract negotiations with vendors, assisting with onboarding new hires, and serving as the liaison with facilities departments.

Clerical Support

Clerical Support staff will perform a variety of tasks to support the office including entering data, filing records, sending and receiving faxes, answering telephone calls, and relaying messages.

Convention / Event / Conference Staff

Event staff responsibilities include general supervision, as well as set up, administering registration, performing event coordination duties, and providing technical support.

Customer Service Representative & Call Center

Customer Service Representatives serve as the liaison between the company and its current or potential customers. Job duties include answering incoming phone calls, identifying and resolving caller needs, providing callers with proper information and keeping records of all conversations in call center database.

Legal Assistant

Legal Assistants ensure the office is running smoothly and are effective at case management. Legal Assistants provide a broad range of support under the supervision of an attorney. Responsibilities include providing administrative support to lawyers, handling communications with clients and witnesses, preparing case briefs, conducting investigations, researching information for cases, and writing basic legal documents and correspondence.

Paralegal

Paralegals work directly with attorneys to prepare for upcoming cases, assist with fact-finding, and maintaining case files. Responsibilities include working with attorneys to develop legal arguments, motions, and other case filings, monitoring changes to government guidelines, and utilizing existing files and cases as research to develop information for pending cases.

Data Analyst

Data Analysts interpret and transfer data into information to be used for business decisions. Responsibilities for this position include interpreting data and analyzing results using statistical techniques, acquiring data from data sources and maintaining database systems, and identifying trends or patterns in complex data sets.

Accounting Clerk

Accounting Clerks are responsible for keeping financial records up to date, preparing reports, and reconciling bank statements. Accounting Clerks also run accounting software programs to process business transactions; this includes accounts payable and receivable, disbursements, expense vouchers and receipts.

Bookkeeper

Bookkeepers are responsible for recording financial transactions, maintaining accurate records and providing reports or statements to managers. Tasks typically include preparing and sending invoices, carrying out bank reconciliations, working with general ledgers and producing balance sheets within a bookkeeping software.
